Zoom integration guide

Zoom, connected to Brix.

Create Zoom meeting links from your Brix calendar and keep them updated as your customer appointments change.

Before you start

Brix connects your own Zoom account to the business workspace you are signed in to. Use it for remote estimates, project walkthroughs, or customer conversations. The integration runs in the Brix website; you do not need to install a Brix desktop application.

  • An active Brix account with access to your business workspace and permission to schedule events.
  • A Zoom account that can host meetings. Your Zoom plan’s meeting limits still apply.
  • Zoom connections enabled for Brix. If you see Connections not enabled yet, contact Brix support.
  • Approval from your Zoom account administrator if your organization restricts apps.
  • A current browser, internet access, and permission for Brix to open an authorization window.

You will also need a customer record to schedule an event. If there is no matching customer, add a lead in Brix first.

Add & connect Zoom

  1. Open Brix Account and sign in to the workspace where you want to schedule meetings.
  2. Find Meeting accounts, then choose Connect beside Zoom.
  3. In the window that opens, sign in to the Zoom account that should host your meetings. Review the requested permissions and approve access. If administrator approval is required, ask your Zoom administrator to approve Brix.
  4. Keep the original Brix tab open while authorization finishes. Return to it and confirm that Zoom shows Connected to your Brix account.

You can also connect while scheduling: turn on Remote, choose Zoom · create a meeting link, and select Connect Zoom. Your event form stays open during authorization.

For a blocked window, expired connection, or approval issue, see Troubleshooting.

Schedule a meeting & share its link

  1. Open Calendar in Brix and choose New event.
  2. Select a customer and enter an Event title, Date and time, Duration, and team member under Assigned to. The form shows your business timezone.
  3. Turn on Remote next to Location and select Zoom · create a meeting link. Connect Zoom if prompted.
  4. Choose Schedule. Brix saves the event and requests a Zoom meeting using its title and timing.
  5. When the link is ready, select Copy meeting link and share it with your customer. Select Done to return to your calendar.

To use a saved link later, open the event in Calendar and select Join meeting or Copy link. Start or host the meeting using your connected Zoom account.

Share the link with your customer. Brix does not automatically send an invitation or a text when it creates a Zoom meeting. The person whose Zoom account created the meeting remains its host, even if the Brix event is assigned to someone else.

Edit & cancel meetings

Change the time or title

Open the event in Calendar, edit the title, date, time, or duration, and select Save changes. Brix updates the linked Zoom meeting using the original host’s connection. If that connection is unavailable, the host must reconnect before the update can succeed.

Cancel a linked meeting

Open the scheduled event, select Cancel appointment, and confirm Yes, cancel. Brix keeps the canceled appointment in its history and requests deletion of the linked Zoom meeting. Verify the result if a connection or provider error appears.

Remove the Zoom meeting from an event

Turn Remote off and save. Brix requests deletion of the linked external meeting while keeping the event. After removal succeeds, you can edit the event again to choose another meeting provider or a remote event without a link.

Make scheduling changes in Brix when you want Brix to update Zoom. This integration does not import changes made directly in Zoom back into the Brix calendar. If a provider operation fails, your Brix event may be saved even though the Zoom meeting has not changed.

Permissions & meeting data

Brix needs permission to create, read, update, and delete the connected user’s Zoom meetings so it can create links, retrieve current join details, reschedule meetings, and remove linked meetings when requested.

It sends the meeting title, start time, duration, timezone, and meeting settings, and saves the returned meeting identifier and participant link with the Brix appointment. Connection tokens are encrypted on the server. The integration does not access recordings, transcripts, meeting audio or video, participant lists, or chat messages.

For information about storage, sharing, retention, and privacy requests, read the Privacy Policy. Use of Brix is covered by our Terms of Use.

Remove the integration

1. Disconnect in Brix

  1. Open Account → Meeting accounts in the workspace where you connected Zoom.
  2. Choose Disconnect beside Zoom.
  3. Review the notice and select Disconnect account.

This removes the saved Zoom connection credentials from Brix’s active database for your user in that workspace. If you connected Zoom in multiple Brix workspaces, disconnect it in each one.

2. Revoke access in Zoom

  1. Sign in to the Zoom App Marketplace with the Zoom account you connected.
  2. Open Manage, then Added Apps, and find the BRIX Strategies app you authorized.
  3. Select the app, choose Remove, and complete Zoom’s confirmation.

If your administrator manages the app, ask them to remove its access using Zoom’s account app controls. See Zoom’s app management instructions.

What happens after removal

Existing meetings stay in Zoom. Brix cannot create new linked meetings or update or cancel existing ones through the removed connection until you reconnect. You can manage those meetings directly in Zoom in the meantime.

Existing Brix appointments, meeting identifiers, and join links remain in your workspace. Revoking access in Zoom does not by itself delete Brix’s saved connection record; complete the Brix disconnect step as well. Removal does not close your Brix account or cancel your service.

To request deletion of retained Brix data, use the privacy request process. Information is retained as described in our retention policy, including any necessary legal retention and backup copies.

Troubleshooting

“Connections not enabled yet”

Zoom is not enabled in the Brix environment you are using. Contact Brix support. You can still schedule an event with Remote only · no meeting link.

The authorization window does not open or the connection expires

Allow pop-ups for the Brix site and try again from Account or the event form. Keep the original Brix tab open. A connection attempt expires after ten minutes; cancel it and start again if needed.

Zoom says the app needs approval or is unavailable

Ask your Zoom administrator about app restrictions. If Brix is still being tested, your account may need to be included in the app’s permitted test users. Contact Brix support with the exact message.

The event is saved, but the meeting link needs attention

Check your connection and internet access. Reconnect the original host’s Zoom account if prompted and choose Retry meeting. If you have already closed the result, open the event and save changes to retry. If the first creation timed out, check Zoom for an existing meeting before retrying: Zoom may have created it even if Brix did not receive the response.

An edit or cancellation did not appear in Zoom

Confirm that the original host’s account is still connected and has permission to manage the meeting. A Brix event can save even when its Zoom update fails. Open the event and follow its reconnect or retry prompt. If time is critical, verify and manage the meeting directly in Zoom.

The meeting has the wrong host

Changing Assigned to does not transfer ownership of a Zoom meeting. Have the intended host connect their own account and schedule a new linked event; cancel the old meeting if it is no longer needed.
